Get Wellcare Enrollments Right the First Time
Wellcare's AEP enrollment checklist, the new 2027 Scope of Appointment rules, and a formulary mismatch to watch for
An application kicked back for a wrong MBI or a missing Medicaid detail means a second call to your client and a delay in their coverage. A few extra checks at each step keep that from happening.
Wellcare has shared its best practices for clean AEP enrollments, along with new Scope of Appointment rules for 2027 and a temporary formulary difference across platforms.
Before You Enroll
Verify eligibility and plan availability. Confirm the client is eligible for the plan, that it's available in their service area for 2027, and that they have Parts A and B. For C-SNPs and D-SNPs, confirm they meet the plan's Medicaid eligibility requirements.
Know the D-SNP nuances. Learn the D-SNP alignment requirements and state-specific rules using resources like the 2027 Dual Plans and Enrollment Options guide.
Set accurate expectations. Make sure clients understand the plan's benefits, costs, provider participation, and other key details before enrolling. Clear, compliant conversations help prevent confusion and future complaints.
New 2027 Scope of Appointment Rules
CMS updated the Scope of Appointment requirements for 2027:
No 48-hour waiting period. You can collect an SOA immediately before a marketing appointment when the beneficiary requests it.
Same-day appointments are allowed. Once a valid SOA is completed, the appointment can start right away.
The SOA is still required. You must have a completed SOA before discussing plan-specific benefits or enrollment options, and you should keep documenting and retaining SOAs per CMS requirements.
The change makes it easier to meet with clients when they're ready and cuts scheduling delays. Keep using approved enrollment tools and processes for every appointment.
During Enrollment
Re-verify the client's name, address, date of birth, MBI, Medicaid information, PCP, and plan selection.
Always use the client's actual residential address.
Capture a cell phone number and email address for plan communications.
If you fax the application, send it within 24 to 48 hours and confirm it was received.
Don't submit an application when there's no plan change. Current members in the same or a crosswalked plan don't need a new application.
Use Ascend. Wellcare calls Ascend its primary eligibility verification platform, with 24/7 Medicare, Medicaid, and LIS eligibility checks that don't require an application, plus provider and formulary searches, SOAs, and electronic enrollment.
After You Enroll
Check Centene Workbench regularly for application status and Requests for Information (RFIs), and act quickly when follow-up is needed. Wellcare also offers a quick 10-minute training on turning pending applications into approved enrollments.
More Help with Enrollment Conversations
The new Enrollment Confidence Center replaces the Agent Resource Center for Member Satisfaction, with guidance, built-in scenarios, and knowledge checks for provider participation, benefits and costs, needs assessments, SOAs, and the PECL.
