Important Aetna Update: New Quote & Enroll Signature Process Now in Effect

Aetna has implemented important changes to the Aetna Quote & Enroll (AQE) signature process for Medicare Supplement and Ancillary applications. These enhancements are effective August 14, 2026 and are designed to provide applicants with a more secure and streamlined application experience.

Agents using AQE should become familiar with the updated process before submitting new applications, as several signature options and security requirements have changed.

What’s Changing in Aetna Quote & Enroll?

Previously, AQE offered several signature options, including paper-to-electronic applications, email signatures, and authorization code signatures delivered by either email or SMS.

Under the new process, Aetna has strengthened both the email signature experience and the authorization code process.

Enhanced Email Signature Process

Agents will still be able to send signature documents to an applicant by email, but applicants will now complete an additional security step before accessing the application.

The new process works as follows:

• A secure link to the application is sent to the applicant by email.

• A separate, system-generated access code is provided.

• The applicant enters the access code to open and review the application.

• After reviewing the documents, the applicant can sign directly on the PDF.

Aetna emphasizes that applicants must have the opportunity to review their application before signing.

Agents will also complete their own signature before the application is sent to the applicant.

Single and Multiple Application Scenarios

For a single applicant, the applicant will receive one email containing a secure link to review and sign the application.

If that same applicant is applying for multiple insurance products, documents for all applicable products will be available through the same secure link.

For dual applications, each applicant must have a separate email address. Each person will receive and sign only the application documents associated with them.

Authorization Code Signature Changes

Aetna is also changing how authorization codes are delivered.

Effective now:

Authorization codes can only be delivered by SMS/text message.

The option to receive an authorization code by email is no longer available.

Agents using this signature method should make sure the applicant has access to a valid mobile number capable of receiving text messages.

New Security Requirements to Know

Aetna has also introduced additional safeguards intended to protect applicants and support compliance.

Agents will no longer be able to send an application to their own registered email address or phone number.

Additionally:

• Each applicant must use an email address they personally own and maintain.

• Blacklisted email addresses and phone numbers will be blocked.

• Disposable or temporary email domains will not be accepted.

These requirements make it especially important to confirm accurate applicant contact information before beginning the signature process.

What Agents Should Do Now

If you submit Aetna Medicare Supplement or Ancillary business through AQE, take time to familiarize yourself with these changes and set expectations with clients before sending applications for signature.

Let applicants know they may receive both a secure application link and a separate access code, and confirm that the email address and mobile number being used belong directly to the applicant.
